Managing Employees

Employee records, onboarding, pay elements, leave and time & attendance.

Everything about the people your payroll runs for: their records, pay elements, leave and time.

Employee records

Go to People → Employees to add and manage staff. Each record holds:

  • Personal and contact details, department and job title (typed freely and reused as a suggestion the next time)
  • Employment terms: salary or hourly rate, FTE, effective dates, manager
  • Statutory identification numbers, in the format required by the employee’s territory
  • A bank account for net pay

Changes to pay-affecting fields (rate, FTE, statutory IDs) take effect from the date you set, so history stays intact for prior pay runs.

Onboarding

People → Onboarding tracks a new hire from an accepted offer through to their first pay run, so nothing is missed — bank details, statutory registration, pay element setup — before their first payday.

Pay elements

Payroll → Pay Elements is where you define the earnings and deductions available to assign to employees — allowances, commissions, statutory and voluntary deductions, and loans. An element defines whether it’s taxable and how it interacts with statutory calculations; assigning it to an employee (from the employee’s record) sets the amount, recurrence and effective dates for that person.

Loan-type elements track an original balance and automatically reduce the remaining balance as repayments are recorded each pay run, stopping once it reaches zero.

Leave

People → Leave manages leave types (vacation, sick, etc.), employee requests and manager approvals. Approved leave is available to reference when reviewing a pay run.

Time & Attendance

People → Time & Attendance is where hourly employees on a timesheet-driven pay group submit hours by category (regular, overtime) for a manager to approve. Approved regular and overtime hours feed directly into that employee’s next pay run, with overtime paid at the company’s configured overtime multiplier.
