Choosing payroll software for a Caribbean business
Most Caribbean businesses start payroll in a spreadsheet. It works until it does not: a formula breaks, a statutory rate changes, someone leaves mid-period, or an auditor asks how a number was produced.
When you evaluate payroll software, look past the demo and check five things.
1. Statutory calculation you can trace
Every deduction on a payslip should be explainable line by line. Rates change, so the rules should be data the vendor updates, not logic buried in code.
2. A real approval step
Payroll is a payment. The person who prepares a run should not be the only person who releases it. Two-person approval is a small control with a large payoff.
3. An audit trail
Who changed a pay element, when, and what was the old value? A payroll system should answer that without a support ticket.
4. Employee self-service
Payslip requests are a tax on your HR team. Give people secure access to their own payslips and year-end certificates.
5. A migration path
You should be able to import history and run a parallel period against your current output before you switch. If a vendor cannot reconcile a run to the cent, keep looking.
